All points matter, but many people wrote to me in private messages saying they want summer, and it turns out there are fewer of them than those who don't care...

Out of all the requests for proposals sent out in Moscow, only one venue has responded so far.

However, for them to cater to our needs, they require 100 guests (or fewer, but at the same price). Theoretically, we could gather that many people in Moscow, especially if foreigners are attending. The problem is that Romanтик is already planning to make a down payment.

From July 31st to August 7th, the preliminary cost will be approximately 25,000 rubles per person, including a banquet and three meals a day (initially, a buffet was proposed, but I would reconsider this, as this format always leads to overpaying for uneaten food).
Accommodation is for two people per room, with single beds. The price also includes access to the swimming pool, gym, and sauna. We don't have a clear picture of the conference rooms yet (there are several, and they sent us options today; I chose three adjacent rooms: a large one with 135 square meters, a conference room with 68 square meters, and a meeting room with 26 square meters). However, I believe these rooms will be included in the price. The alternative for them is an empty or half-empty hotel.During the summer, there are outdoor playgrounds for volleyball, basketball, and mini-football.

There are also additional paid options: bowling, fishing, billiards, ping-pong, a paintball field, etc.

The location is ideal for Moscow, as it can be reached by minibus from the metro.

From Vnukovo Airport, it's 22 km via normal roads and 17 km through the gardens (a taxi will cost 500-600 rubles during off-peak hours).

From Three Stations Square, it takes an hour and a half by public transport (metro plus bus/minibus – an hour and a half is the maximum, including all waiting times and transfers between stops).

So, if we want to hold the event in Moscow, we need to decide quickly (and make a quick decision about St. Petersburg). Tomorrow, I'll review the details more thoroughly, negotiate group discounts, and get a revised price for the entire group, including the conference rooms and everything else. But we're aiming for a price of 25,000 rubles per person.

Details are not available yet; I only received the initial figures from them today. Tomorrow, I will be able to communicate more meaningfully because now I have something to work with (I have a rough idea of their expectations; the next step is negotiations. The first thing we can save on is eliminating this "buffet" altogether. The cost per person for this format is twice as high as for standard business lunch options, so I expect to save around 3,000 per person just on food.

Roma, if instead of 60 people, 35 come to St. Petersburg, the price will not change, is that correct? Or did the base set this price based on full capacity?

I don’t want to downplay your idea, but I really have a deadline on Saturday. If the Moscow option gets massive support from the community in the next 24 hours, then my Saturday trip will be canceled, and the agreement won’t be concluded. But if not, then save this option for 2022. And if the deadline, if we're still talking about July, you can push it back. I can understand a certain level of current high demand for May – it's probably relevant for St. Petersburg in the context of the pandemic. But for July, I would urge you to push for a final decision and a deposit for December.

No, I barely managed to arrange it for July, without a significant (and possibly even zero) price increase compared to May, week 3. No one will hold anything for us for free until December (why would they?).

I can easily gather 60 people in St. Petersburg (even for my small offline events, I get 25-30 people, so what about the CIS region?), but gathering 100 people in Moscow, especially considering possible border closures, is a different story.

The CIS 2021 base camp is booked, and the event will take place from July 17-25 at the "Northern Shore" recreation center in Toksovo!!! A separate thread, as well as a special thread for participants/spectators, will be created soon for booking.
