Let me clarify.
The arrangements were made based on the initial list I posted earlier: comfortable accommodation, full board (three meals a day), a conference hall, and the administration's tolerance for alcohol and our noise.
In December, they stated that there were 16 rooms available (now 18 according to the booking site – perhaps they added more), with single, double, or triple occupancy, and the option to add an extra bed to individual rooms. This means that with a standard attendance of 35-40 people, the hotel would be fully occupied.
The administration initially quoted a price of $35 per person per day for the above (accommodation, full board, conference hall, and the ability to drink and make noise around the clock), and this is the only option in Tbilisi at that price.
The hotel is a recently renovated sports complex that has been converted into a hotel.
It has an indoor pool, a hot tub, and a fitness center (all available for an additional fee).
The price for a standard taxi from the airport to the hotel is around $25.
Niko's role, therefore, is to finalize the agreement with the administration based on a clear and specific request, to organize the airport-hotel transfer, and to assist with accommodation. The rest is up to self-organization (something similar to the distribution of roles was in place in 2013, if I'm not mistaken).
And another question: could we consider Batumi as an alternative, or are there no like-minded people there who could help organize the event?
P.S. What about the internet, the channel, the admins, and the backup plan?
