Yes, until the organizer has specific agreements with the venue, conference hall, etc., there's no point in discussing anything. We need concrete and clear proposals and amounts that are close to the final figures. Right now, it looks like this: here's the hotel, and the rest is up to you. Of course, no one will go under these conditions.

Let me explain.
The planning was based on the initial list that I posted earlier: comfortable accommodation, full three meals a day, a conference hall, and the administration's tolerance for alcohol and our noise.
The number of rooms – in December, it was stated that there were 16 (now 18 according to the booking site – maybe they built more) single to triple rooms, with the possibility of adding one extra bed to separate rooms. That is, with a standard quorum of 35-40 people, we're talking about completely filling the hotel.
The administration preliminarily set a price of $35 per person per day for the above (accommodation, three meals a day, conference hall, the possibility of drinking and making noise around the clock) (and this is the only option in Tbilisi at this price).
The hotel is a recently renovated sports complex that now provides hotel services.
There is an indoor pool, a hot tub, and a fitness room (for an additional fee).
The price for a standard taxi from the airport to the hotel is around $25.

Thus, Niko's role boils down to the final agreements with the administration based on a clearly and specifically formulated request, organizing the "airport-hotel" transfer, and helping with accommodation. The rest is really up to self-organization (something similar in terms of the distribution of roles was in 2013, if I'm not mistaken).
